WhatsApp for professional practices
A practice is paid for judgement, and judgement cannot be delegated to a message. What can be is everything before it: understanding what somebody needs, whether the firm takes that work, what they should bring, and when the meeting is.
What it answers on its own
These are handled in the conversation, without anyone being interrupted, at whatever hour the message arrives.
- Which areas of work the practice takes on
- How engagements are usually structured
- Booking a first meeting at a real slot
- The documents to bring to it
- Where the office is, and whether a remote meeting is possible
- Whether a filing deadline is near enough to need urgency
What it asks back, and why
A reply that collects nothing is a reply you have to follow up. Each question below earns its place by changing what happens next.
- Nature of the requirement
- Because it decides which partner or associate the meeting should be with.
- Entity type
- Because it an individual, a partnership and a company are three different pieces of work.
- Deadline or trigger date
- Because it a notice with a reply-by date cannot wait for next week's calendar.
- Existing filings or records
- Because it tells the professional what will be on the table before they walk in.
Where a person takes over
The handover is configured, not guessed at. These go to your team with the conversation attached, so nobody starts from the beginning.
- Any question that requires professional advice
- Fees and scope of engagement
- Anything relating to a notice, dispute or proceeding
What you are left with
Every conversation ends as a record, whether or not it converted.
- Name and number
- Nature of requirement and entity type
- Deadline, if there is one
- Meeting slot, if booked
- The full conversation, so the first meeting starts at the second question
Questions
Will it give advice?
No. It scopes and schedules. Anything that amounts to advice is handed to the professional, because that is what the client is engaging the firm for and what the firm is accountable for.
Can it quote fees?
Only where you have configured a fixed published fee. Anything scope-dependent goes to a person, since a fee quoted on incomplete facts is a fee argued about later.
Is client information kept confidential?
It is stored in your own tenant database, separate from every other business, and it is never used to train AI models. The privacy policy sets out retention and deletion.
