WhatsApp for clinic scheduling
Front desks lose most of their day to the same handful of questions: when are you open, is the doctor in, can I move my appointment, what should I bring. None of that is clinical, all of it is interruption, and it is the part that can safely be answered on WhatsApp.
What it answers on its own
These are handled in the conversation, without anyone being interrupted, at whatever hour the message arrives.
- Booking, moving and cancelling appointments
- OPD timings, and which days a doctor sits
- Location, directions and parking
- What to bring, and whether to fast beforehand
- Whether a report is ready for collection
- Which department an enquiry belongs to
What it asks back, and why
A reply that collects nothing is a reply you have to follow up. Each question below earns its place by changing what happens next.
- Department or doctor
- Because it decides which calendar the slot comes from.
- New or returning patient
- Because it a returning patient is recognised, and does not repeat their details.
- Preferred day and time
- Because it offering two real slots books far more often than asking when they are free.
- Whether a referral exists
- Because it some departments cannot accept a direct booking without one.
Where a person takes over
The handover is configured, not guessed at. These go to your team with the conversation attached, so nobody starts from the beginning.
- Any description of symptoms
- Any question about medication, dosage or a result
- Anything urgent — passed to staff immediately, not queued
- Anything the configuration does not cover
What you are left with
Every conversation ends as a record, whether or not it converted.
- Name and number
- Department and appointment slot
- New or returning
- The full conversation, retained under your own retention policy
Questions
Does it give medical advice?
No. It is configured for scheduling and administrative messages only. Anything clinical — symptoms, medication, a test result — is passed to your staff without an answer being attempted. That boundary is not a setting to be relaxed.
What happens if someone messages about an emergency?
It is escalated to your team immediately rather than handled, and the reply directs the patient to emergency care. You configure that wording.
Where is patient data stored?
In your own tenant database, separate from every other business. Retention periods, and deletion on request, are set out in the privacy policy.
